JOB SUMMARY 

The Administrative Coordinator- Legal provides support for the Legal Department’s administrative functions, including budgeting, approving outside counsel invoices, maintains databases and other software, and general file management. 

Your Key Job Functions 

  • Provide administrative support to departmental personnel including coordinating meetings, preparing correspondence, and preparing expense reports.
  • Review and approve invoices and facilitate processing with the finance department.
  • Assist with maintaining databases used by the department including, data entry, reporting, and assisting users.
  • Provide information to various departments in response to requests on contracts or processes and requests for corporate information.
  • Schedule, verify and participate as necessary in meetings and appointments including making travel arrangements and accommodations for attendees, preparing conference rooms and arranging meals.
  • Copying, typing, sending/receiving and distribution emails, sort, distribute and respond to mail, send certified mail, screen calls, greet visitors, answer phones, set up and maintain file system, inter office mail, overnight mail, frequently check out box and process work, etc.
  • Research and compile reports, proposals and presentation materials.
  • Plan, coordinate and participate as directed in meetings and other off-site meetings.
  • Analyze and route internal and external calls to the proper resource;
  • Receive, sort, facilitate dissemination of incoming mail and information to department personnel;
  • Maintain, scan, and index various agreement files and documents retrieval system.
  • Run project management on an ad hoc basis.
  • Coordinate the execution and/or notarization of documents.
  • Assist with corporate, regulatory and other filings.
  • Record and organize data to assist in analyzing key performance indicators. 

What You Bring to the Team

o   HS Diploma or GED required;

o   Three years of experience performing administrative duties, legal administration and related record keeping;

o   Corporate law department experience preferred but not required.

o   Able to think beyond the immediate scope of the job and understand the larger business needs of the company.

o   Strong organizational skills, extremely detail-oriented and work well under tight time constraints.

o   The Administrative Assistant must be professional with high integrity with ability to inspire trust and confidence.

o   Exercise proper judgment when matters should be escalated to internal counsel.

o   Proficiency with Microsoft Word, Adobe Professional, DocuSign, Excel, PowerPoint.

o   Excellent presentation and teamwork skills.
